How the two pricing models work
Pricing built specifically for JLTW
The rates and packages on this page are custom, non-profit pricing prepared specifically for the Junior League of The Woodlands and are already discounted below standard commercial rates. Please don't share or compare these numbers against for-profit organization quotes — pricing for a for-profit client would be higher, since this quoting structure was built around JLTW's non-profit status and season calendar.
Flexible — pay for actual hours
Filming is billed at $200/hr. If an activity wraps up early, or the League decides recording isn't needed for the full planned block, only the hours actually used are billed — never the full estimate. This option gives the most control over cost for smaller or unpredictable activities.
Guaranteed coverage — confirmed hours, locked rate
The League shares the event schedule in advance, and that confirmed time window is locked in at a flat rate of $150/hr — guaranteeing coverage for the full agreed hours. Because the schedule is set ahead of time, the video pricing is also discounted (see table below).
Video pricing
Video editing is quoted separately from filming, based on final length and complexity:

The short and long cut cover most single-event videos. Some projects call for more — multiple interviews, motion graphics, a longer runtime (roughly 5 minutes or more), or footage pulled together from more than one session or event. Those fall under extended production and are quoted individually once the scope is clear, so the League only pays for the level of production a given video actually needs.
Why guaranteed coverage costs less
With guaranteed coverage, the League gets certainty that the entire event will be captured, and the videographer gets certainty about how many hours to plan for. That shared certainty is reflected in both the lower hourly rate and the lower video pricing — the more content requested from a single event, the more it pays off to lock it in ahead of time.
Choosing per project
- Smaller, flexible activities (deliveries, prep work, short meetings) — Flexible usually costs less.
- Signature or milestone events where full coverage matters (Find the Good Day, Holiday Market, Annual Dinner) — Guaranteed coverage is typically the better value, especially when both a short and long video are needed.
- Every project can be priced individually using this calculator — there's no need to commit to one model for the whole year.

To make sure filming and editing time is properly planned, please let us know at least 1 day before each event whether you'd like Flexible or Guaranteed coverage for that project. This helps us prepare the right schedule and equipment ahead of time.
